Vanguard, sample business

Vanguard page for the Quote Desk on a sample sod supplier, under the app header: a quote draft listing what the customer asked for, with one line still needing a price.

Built on

  • Claude

Where it lands

  • Email drafts
  • Your dashboard

You don't need

Slack or Notion. It lands where you already work.

01The problem

Deals cool off between the visit and the quote

The customer was ready on site. Then the quote took two evenings to write, line by line, and by the time it landed they had called someone else.

Without it

  • Evenings spent typing. Every quote starts from an old one and a calculator.

  • Prices from memory. One wrong rate and the total doesn't add up.

  • Asks lost in the notes. Something the customer asked for never makes it onto the quote.

  • Gaps filled with guesses. A rate nobody set gets made up on the spot.

With Ledger

  • Drafted the same day. From the visit notes and your rate card.

  • Prices from one source. Every line pulls from your own rate card, with its source shown.

  • Every ask matched or flagged. Each ask is matched to your rate card by rule first, then by one model pick from the card itself. Anything still unmatched is flagged "needs a price from you".

  • Gaps left blank. No rate card source, no number. The line waits for you.

02How it works

Five steps. The last one is yours.

Every run follows the same five steps. Nothing it writes goes out until a named person approves that exact draft: Tony on our own brands, and on yours, the person you name at setup.

  1. 01

    Reads the visit

From the call notes, email or intake form you give it: what the customer asked for, in their words, and any quantity they stated.

  2. 02

Maps it to your rate card

Each ask matched to the items and rates you already charge.

  3. 03

    Builds the quote

Itemised, with a total that adds up and a source on every line.

  4. 04

    Flags what it can't price

Any line without a rate card source stays blank and is listed for you.

  5. 05

    Waits for your yes

The quote and its cover note wait as drafts in the approval queue. Nothing reaches the customer until a named person approves them.

03Sample output

An itemised quote, drafted from the request

What Ledger produces, shown on labelled sample data. Names and figures are fictional; your own data replaces them.

  • Email drafts. Customer emails wait as drafts until you approve each one.
  • Your dashboard. Every run shows in your Vanguard: what it read, made and skipped.

  • Private rules kept privateInternal formulas stay internal; the customer sees the line and the total.

  • A plain English guide and a walkthrough video

  • Fixes and updates included for as long as you're on the care plan

05Who it's for

Businesses that quote from a repeatable menu: sod and landscaping installs, field service repair and testing, and service firms with a set of packages.

It fits if

  • You send quotes or proposals every week.
  • Most of what you quote comes from the same list of items.
  • You have a rate card, or will write one with us.
  • Quotes still take you an evening to type.
  • You'd rather not add Slack or Notion to run it. You don't need either.

Not for you if

Every job is a one off with nothing repeatable to price from. Want every quote followed up after it goes out? That's Follow-Through.

Proof

06Install Ledger

Live in 7 days. Then we run it for you.

One setup, then one monthly line. The final number comes in writing on a Project Quote before anything is built.

Setup · Starter build

$3,500 to $6,000

One time. We install it, connect it to your accounts and make it yours.

  • A short call to confirm it fits
  • Connected to your tools and set up on your brand's rules
  • Tested on your real data, with every send held as a draft, before it goes live
  • A plain English guide and a walkthrough video

Then monthly · Maintain care plan

$750/mo

We host it, watch it and fix it, so you never have to.

  • Hosted, monitored and backed up by us
  • Fixes and updates included
  • Changes as your business changes, one request at a time
  • Usage (AI, SMS) is billed at cost, on its own line
What the care plan covers
  • Terms. 50% deposit to start the build. The care plan is billed monthly in advance, with a minimum of 3 months. The final number is issued in writing on a Project Quote before anything is built.
  • Your data. Your logins and keys stay in your own account settings, kept out of our code. Hosted and monitored by TDR. Every number the engine shows carries its source, or it says "not on file".
  • Owner-operated. Tony Del Rio, Director of TDR Digital, signs off every install before it goes live. Written response times are part of your care plan agreement.
  • Nothing sends without your yes. Every message it writes waits as a draft in the approval queue, and nothing goes out until a named person approves that exact draft. On our own brands that is Tony. On yours, it is the person you name at setup.
  • Bills to your own accounts. nothing beyond AI usage, which is billed at cost on its own line.

07Questions

Before you book.

What does it cost to run each month?

The Maintain care plan, $750/mo, covers hosting, monitoring and fixes. AI usage is billed at cost on its own line. When you add email sending through Resend, that account stays on your own plan.

How long does setup take?

About 7 days. Most of it is writing your rate card with you and testing quotes against jobs you have already priced by hand.

What do you need from me?

Your current rates, a few past quotes you were happy with, and the call notes, email or intake form for each quote.

What does it never do?

It never sends a quote, and it never invents a price. Every line comes from your rate card or stays blank, and every quote waits as a draft until you approve it.

Can customers see how a price was worked out?

No. Internal formulas and rates stay on your side. The customer sees the items and the total you approve.

08For agencies and operators

Resell Ledger to your clients.

If you run more than one business, or you serve clients who need the same thing, we install any engine in this catalog for each of them, then run it and fix it behind you.

  • Their name on every message. Your client's messages go out in their name and voice, and every draft carries their own signature.
  • Your client's accounts. Installed on each client's own accounts, connected to their own data.
  • We do the work. Setup, hosting, fixes and updates stay with us, one monthly line per client.
  • Their yes, every time. Every message still waits as a draft until the person your client names approves that exact draft.

Partner terms, including whether the client screens carry your name and logo, are agreed in writing on the partner call.

Next step

See if it fits.

Thirty minutes on a call. Bring the job that eats your week, and we will tell you whether Ledger fits, or that nothing in the store does yet. If it fits, the number comes in writing.
