Vanguard, sample business

Vanguard page for Call Desk on a sample sod supplier, under the app header: a pregame brief for a sample customer, each fact numbered to its source.

Built on

  • Supabase
  • Claude

Where it lands

  • Email drafts
  • Your dashboard

You don't need

Slack or Notion. It lands where you already work.

01The problem

The call goes well. The write-up never happens.

You walk into a call or a site visit with what you remember. You walk out with a page of notes, and turning them into a summary, a task list and a follow up takes an evening you don't have.

Without it

  • Walking in cold. You look up the customer in the truck, if at all.

  • Notes that stay notes. The call ends and the notes sit in a notebook or an app.

  • Tasks from memory. Half the promises made on the call get done.

  • Follow up that waits. The customer hears back days later, or not at all.

With Quill

  • A brief before you arrive. Who they are, what they asked for, and what is still open.

  • A summary the same day. What was said, what was decided, in plain English.

  • A task list. Every promise made on the call, listed with who owns it.

  • A follow up drafted. Written from what was actually said, waiting for your yes.

02How it works

Five steps. The last one is yours.

Every run follows the same five steps. Nothing it writes goes out until a named person approves that exact draft: Tony on our own brands, and on yours, the person you name at setup.

  1. 01

    Names the call

You run the pregame for an estimate, an email or a name, before the call or visit.

  2. 02

    Writes the pregame

A one page brief from the customer's record and past requests, with a source on every fact.

  3. 03

    Reads the call

After the call you drop in the notes or the transcript.

  4. 04

    Writes the postgame

Summary, decisions, tasks with owners, and a follow up email draft.

  5. 05

    Holds it for you

The follow up waits as a draft in the approval queue. Nothing goes to the customer until a named person approves that exact draft.

03Sample output

The write-up, ready before you're back in the truck

What Quill produces, shown on labelled sample data. Names and figures are fictional; your own data replaces them.

  • Email drafts. Customer emails wait as drafts until you approve each one.
  • Your dashboard. Every run shows in your Vanguard: what it read, made and skipped.

Summary

Site visit with Rosa Demo at Demo Cold Storage to review the 150 kW diesel standby. It has not been load tested in 2 years and the insurer wants a test. We agreed to run a full load-bank test with our portable load bank on a weekday morning, and to send the report to Rosa. Price is open until we see the nameplate photos. A possible block heater coolant leak was raised; Rosa will check budget with her manager.

05Who it's for

Businesses that win work on a call or a site visit. Field service techs who scope jobs on site, sod and landscaping estimators, and service firms that run discovery calls.

It fits if

  • You take booked calls or site visits every week.
  • Your notes from those calls rarely become a written summary.
  • Follow ups go out late or not at all.
  • You can record the call, or will jot notes right after it.
  • You'd rather not add Slack or Notion to run it. You don't need either.

Not for you if

You rarely take calls or visits. Want the new client paid, agreed and onboarded after the call too? That's Launch Pad.

06Install Quill

Live in 7 days. Then we run it for you.

One setup, then one monthly line. The final number comes in writing on a Project Quote before anything is built.

Setup · Growth build

$7,500 to $12,000

One time. We install it, connect it to your accounts and make it yours.

  • A short call to confirm it fits
  • Connected to your tools and set up on your brand's rules
  • Tested on your real data, with every send held as a draft, before it goes live
  • A plain English guide and a walkthrough video

Then monthly · Optimize care plan

$1,500/mo

We host it, watch it and fix it, so you never have to.

  • Hosted, monitored and backed up by us
  • Fixes and updates included
  • Changes as your business changes, one request at a time
  • Usage (AI, SMS) is billed at cost, on its own line
What the care plan covers
  • Terms. 50% deposit to start the build. The care plan is billed monthly in advance, with a minimum of 3 months. The final number is issued in writing on a Project Quote before anything is built.
  • Your data. Your logins and keys stay in your own account settings, kept out of our code. Hosted and monitored by TDR. Every number the engine shows carries its source, or it says "not on file".
  • Owner-operated. Tony Del Rio, Director of TDR Digital, signs off every install before it goes live. Written response times are part of your care plan agreement.
  • Nothing sends without your yes. Every message it writes waits as a draft in the approval queue, and nothing goes out until a named person approves that exact draft. On our own brands that is Tony. On yours, it is the person you name at setup.
  • Bills to your own accounts. Supabase.

07Questions

Before you book.

What does it cost to run each month?

The Optimize care plan, $1,500/mo, covers hosting, monitoring, fixes and tuning the briefs to how you work. AI usage is billed at cost on its own line. Supabase stays on your own plan.

How long does setup take?

About 7 days. The first days connect your customer records and agree the shape of the brief. Then it runs on your real calls, with you reading every output.

What do you need from me?

Read access to your customer records, two or three past call notes so it learns the shape, and the email address follow ups should come from.

What does it never do?

It never sends the follow up. It never invents a price, a promise or a date the call did not include. Every follow up waits as a draft until you approve it.

Do I need a notetaker?

No. A transcript helps, but typed notes work. If you already use a notetaker, drop its summary in.

08For agencies and operators

Resell Quill to your clients.

If you run more than one business, or you serve clients who need the same thing, we install any engine in this catalog for each of them, then run it and fix it behind you.

  • Their name on every message. Your client's messages go out in their name and voice, and every draft carries their own signature.
  • Your client's accounts. Installed on each client's own accounts, connected to their own data.
  • We do the work. Setup, hosting, fixes and updates stay with us, one monthly line per client.
  • Their yes, every time. Every message still waits as a draft until the person your client names approves that exact draft.

Partner terms, including whether the client screens carry your name and logo, are agreed in writing on the partner call.

Next step

See if it fits.

Thirty minutes on a call. Bring the job that eats your week, and we will tell you whether Quill fits, or that nothing in the store does yet. If it fits, the number comes in writing.
